Privacy Policy

InquiryPilot ("we", "us") provides an AI sales-assistant service for businesses. This policy explains what information we process, why, and the choices you have. If you have questions, contact us at support@getinquirypilot.com.

In short: we process your account details and the business content and conversations you run through InquiryPilot solely to provide the service. We do not sell your data or your end-customers' data.

1. Who the data belongs to

There are two types of people whose data we handle: (a) our customers — the businesses that create an InquiryPilot account; and (b) your end-customers — the people who message your connected channels. For end-customer data, you are the data controller and we act as your processor.

3. Messaging platforms (WhatsApp, Messenger, Instagram, Email)

When you connect a channel, incoming messages from your end-customers are received through the official platform APIs (e.g., WhatsApp Business API via your provider, Meta Graph API) and processed to generate an AI reply on your behalf, which is then sent back through the same official API. We use this content only to operate the conversation and produce the features you enabled. We comply with the WhatsApp Business and Meta Platform terms; you are responsible for using messaging in line with those platforms' policies and applicable law.

5. AI processing

To generate replies, conversation text and your knowledge base are sent to a language-model provider. By default we use a built-in model; if you configure your own model API key, your data is sent to the provider you chose instead. We do not use your conversations to train our own models.

5a. Leads from advertising platforms

If you connect a Facebook or Instagram Page, we receive the contact details that people submit through your own lead forms — typically name, email, phone, company and whatever other questions you chose to ask. This data belongs to you; we process it only to store it in your account, generate a reply, and score it for risk.

We do not sell it, do not use it to train models, and do not share it with other customers. Lead records are deleted automatically after 180 days, and immediately if you disconnect and ask us to remove them. You can export or delete them at any time by writing to support@getinquirypilot.com.

If you enable conversion feedback, we send Meta a one-way cryptographic hash (SHA-256) of the lead\'s email and phone, together with the outcome you recorded. The plain values are never sent. You can turn this off at any time; it is optional.

You remain the data controller for these leads. Please make sure your own lead form and privacy notice tell people that their details will be used to contact them about your products.

5b. Where your data is stored, and international transfer

InquiryPilot is operated by Tianjin Lizhong Yuanli Network Technology Co., Ltd. (天津市利众愿力网络技术有限公司), registered in Tianjin, People's Republic of China. Our application servers are located in Singapore.

Because our company is established in China and our servers are in Singapore, using the service involves transferring your data outside your own country, including outside the EEA and the UK. Language-model providers we call may process the text in the United States or in China, depending on which model is in use. If you would rather your data not be sent to a particular provider, you can configure your own model API key in Settings, in which case your data goes only to the provider you chose.

You can ask us at any time which providers are currently in use, request deletion of your data, or ask for a copy of it. Write to support@getinquirypilot.com.

6. Third parties we share with

We do not sell personal data to anyone.

7. Data retention

Conversation and inquiry records are retained while your subscription is active. On the Free plan, records are kept for 30 days. If you stop paying, records are kept for 6 months and then deleted. You can delete individual records at any time in the app.

8. Your rights

You (and your end-customers, through you) may request access to, correction of, or deletion of personal data. To make a request, email support@getinquirypilot.com. We will respond within a reasonable time and in line with applicable law (including GDPR where it applies). You can also delete your account content directly in the app.

9. Security

Passwords are hashed with PBKDF2. Traffic is served over HTTPS. Access controls, request-size limits, and rate-limiting are in place. No system is perfectly secure, but we take reasonable measures to protect your data.

10. Cookies and local storage

We use browser local storage to remember your language preference and keep you signed in. We do not use third-party advertising or tracking cookies.

11. Children

InquiryPilot is a business tool and is not directed to children under 16. We do not knowingly collect data from children.

12. Changes

We may update this policy. Material changes will be reflected by the "Last updated" date above.
